Mail merge using Excel spreadsheet

Multiple apprenticeship contracts can be generated in one step via mail merge.

Process

  1. Download the Excel template for entering the data. Enter all the basic data for the apprenticeship contracts to be created in the Excel spreadsheet. Use one new line for each apprentice. This allows you to easily compare the details in the apprenticeship contract (e.g. salary, holidays, etc.). Information on the columns and their links to the apprenticeship contract form can be found in the documentation.

    The structures in the Excel template may not be changed. The columns are linked to the fields in the apprenticeship contract form.

  1. Upload the Excel spreadsheet using the web form below. The application generates the apprenticeship contracts in PDF format from the data in Excel and makes them available to you for download. It takes a few minutes to draw up apprenticeship contracts. You will be notified by email when the contracts are ready for download.

Security guidelines in the browser

The application is on its own server and is embedded in the page as an iframe. Depending on the security guidelines in the browser (often defined by the company), iframes with a different server address are blocked. If the error message “refused to connect” or a grey area appears instead of the function, you can call up the application directly (without an iFrame): Mail merge without iFrame

Data privacy

The data is uploaded to the web server through a locally run PHP script on an SSL-secured page. The server is physically located in Zurich. The uploaded Excel files and the generated apprenticeship contracts (as PDF files) are deleted from the server each month. The data is stored in a directory on the web server until it is deleted. The directories are protected and cannot be accessed. SDBB employees cannot access the data. The entries (email address and name of the Excel file) are stored in a database (located in Switzerland) and deleted within 24 hours after processing.
